Privacy policy

TopSheetz (“we”, “us”) is a mobile ski and snowboard tuning business based in Chalk River, Ontario. This policy explains what personal information we collect through topsheetz.ca and our services, why we collect it, who we share it with, and the choices you have. We follow Canada’s Personal Information Protection and Electronic Documents Act (PIPEDA) and Canada’s Anti-Spam Legislation (CASL).

Who is responsible

What we collect and why

• Orders and bookings: name, email, phone, billing and service address, the services or products you choose, and your booking date and time — so we can complete your order, come to you, and contact you about your appointment.

• Payments and deposits: payments are processed by Shopify and its payment partners. When you book with a deposit, your card is saved securely by our payment processor so the balance can be charged when your tune is complete. We never see or store your full card number.

• Season Pass and discount codes: we create a personal code linked to your order and track how many times it has been used.

• MMSC member pricing: your name, email, phone and Mount Martin Ski Club membership number. We share your name and membership number with the Mount Martin Ski Club only to confirm your membership. Approved members are tagged in our system so the member code works for them.

• Race team and contact enquiries: the details you send us (team name, contact details, number of athletes, season plans), used only to respond and prepare a quote.

• Email updates: if you subscribe, your email address and how you interact with our emails.

• Website usage: cookies and similar technologies record basic device, browser and browsing information so the store works (for example, keeping items in your cart) and so we can understand how the site is used.

We only collect what we need for these purposes. We don’t use your information for anything else without your consent unless the law requires or allows it.

Who we share it with

We don’t sell your personal information. We share it only with service providers who help us run the business, and only as needed:

• Shopify — online store, checkout, customer records

• Payment processors — card payments, deposits and saved cards

• BookEasy — appointment booking

• Depositly — booking deposits

• Klaviyo — email updates, if you subscribe

• Mount Martin Ski Club — membership verification only, if you request MMSC pricing

Some of these providers store information outside Canada, including in the United States, where it may be subject to that country’s laws.

Email and consent

We send promotional emails only to people who have subscribed, or to customers who have bought from us within the last two years. Every promotional email includes our business name, contact information and an unsubscribe link, and we honour unsubscribe requests promptly. We may still send you messages about your orders, bookings, deposits or Season Pass.

How long we keep it

We keep order and booking records as long as needed for our services and for tax and accounting purposes (generally up to seven years). Enquiry and membership-request details are kept only as long as needed to respond and manage the relationship. Information we no longer need is deleted.

Children

Many of the riders we tune for are young, but bookings, payments and enquiries should be made by a parent, guardian or adult team contact. If you believe a child has sent us personal information, contact us and we’ll delete it.

Your rights

You can ask to see the personal information we hold about you, ask us to correct it, withdraw consent to optional uses (such as marketing emails), or ask us to delete information we no longer need. Contact us using the details above and we’ll respond within 30 days. If you’re not satisfied, you can contact the Office of the Privacy Commissioner of Canada at priv.gc.ca.

Security

We use reputable, secure service providers and limit access to your information to what’s needed to serve you. No system is perfectly secure, so please contact us right away if you believe your account has been compromised.

Changes

We may update this policy from time to time. The date at the top shows when it was last changed
